Document Management - From Paper Beginnings

Ever since the ancient Egyptians developed paper from papyrus plants, we’ve been able to make records, and this has been applied in business, but now we can do this with document management.

‘Cyperus Papyrus’ is a plant that belongs to the sedge family known as Cyperaceae,
and has had a very long history of being used by humans for many different purposes. It was also used to create papyrus paper in Ancient Egypt, and the world has since used paper to record information. But today, electronic document management could altogether replace paper filing, by offering a more resilient and more reliable way of storing data.

How it All Started

Document management can do something, that for many years, paper filing could not.
As we need to cut down trees to supply the millions and millions of sheets that are
written on, printed on, scribbled on, stamped and watermarked on, paper has become
a major issue for Corporate Social Responsibility. But the paper story dates way back
to Ancient Egypt, and more specifically in the 2nd Century AD, China. Known as one
of the “Four Great Inventions of Ancient China”, the paper fairytale has a extensive
history of information recording, way before electronic document management
arrived on the scene. Electronic document management can replace the long process
that has taken place for centuries with paper records.

The Complicated Process of Paper Making

So why is document management so environmentally friendly? Sustainable practice is extremely important in the modern world. There is so much emphasis on being environmentally friendly and businesses are expected to the lead by example. With 2010 being the International Year of Biodiversity, it’s more crucial than ever to ensure that your conduct is eco-friendly. Document management is efficient and can cut out the whole paper process.

Paper first goes through a pulping process, whether this is chemical, mechanical, or deinked. After pulping, additives such as chalk or china clay could be added to improve the paper’s quality for writing and printing. The pulp is then fed into a machine ready for pressing and drying. Paper is later finished with a coating and then cut into sheets or fed into reels. With such a huge industrial effort going into making paper, it is vital for everyone to think about how much paper they are using on a daily basis. Without even realising, we can be filing sheets and sheets per day for the purpose of business data storage. But if we choose electronic document management, we can reduce the need for such heavy paper usage.
