Sniffing Out the Truth about Old Documents!
A BBC news report caught our eye a couple of months ago, it explained how experts in libraries were to use a rather old fashioned way of telling if their valuable books and documents were degrading while in storage and how best to preserve them.
It explained how the key to preserving the old, degrading paper of treasured, ageing books is apparently contained in the smell of their pages.
The BBC reported that the journal Analytical Chemistry claimed that a new "sniff test" can measure degradation of old books and historical documents, so specialists were being trained to smell books rather than perform chemical tests to identify the chemicals that the pages release as they degrade. This could help libraries and museums preserve a range of precious books.
Luckily our electronic document management means that our clients won’t have to learn these techniques, well, as long as they let us convert all those dusty old files into electronic ones for them!
Corporate Social Responsibility - Fad or Fundamental
If you have your own company, you will probably have heard business moguls and professional speakers drone on and on about corporate social responsibility…
So what is it anyway? Corporate Social Responsibility (CSR), also referred to as ‘Sustainable Responsible Business or ‘Corporate Citizenship’, is all about doing your bit. That’s right – how can you give back to the resources that have served you in the making of your business. This includes ethical standards, international issues, and the environment. The latter, being the most influential!
Document management is a paperless form of storing, saving, archiving and retrieving your most important files. You can completely replace the old fashioned way of paper filing with a more sophisticated system. Not only is this cheaper for your business, but you can show your corporate concern for the Mother Nature.
Corporate Social Responsibility is pretty contagious. You do your bit, and your neighbour does his, and before you know it, the whole world is cutting back on resources. Fad or fundamental – you decide!

Document Management - Retrieve your Documents at Speed
One of the main aspects when implementing a document management system is the retrieval process. You could have the best document storage solution in the world but if the retrieval process is prolonged and complex the whole management system will collapse.
If you are still using the traditional storage method you may have experienced problems including missing files or files that has been stored incorrectly making document retrieval a fairly unpredictable venture. Modern document storage can eliminate all of these difficulties with the help of web based technology. What’s more if you need any of the documents that you have archived away we can have them delivered to your door within one working day.
Simplified retrieval processes can improve productivity and organisation in the workplace while saving time and office space simultaneously. Need an intelligent document management system? Look no further, we can implement a document storage and retrieval process to suit you.
Facts about Paper Waste
We’re not fans of paper waste here at Castle Document Management, and we believe that it’s our duty to share our ideas with everyone around us…
Paper waste is causing incredible damage to the environment, and we are interfering with the earth’s natural biodiversity. It’s not just your business that is producing paper waste at a detrimental rate either – it’s your home. The average UK household produces around 300kg of paper waste from newspapers and magazines, or direct mail inserts such as flyers and brochures. Here at Castle Document Management, we want to share some scary facts about paper waste:
 · Recycling 54kg of newspaper is enough to save one tree! (Government of Canada, Digital Collections)
 · Even though paper has traditionally been used for reading /writing, commercial packaging is now the single largest category of paper use, with a whopping 41%! (North American Factbook PPI, 1995)
 · A terrifying total of 10,000 trees are cut down every year in China, for the purpose of holiday cards (Xinhua News Agency)
 · The third largest consumer of fossil fuel in the entire world is the paper manufacturing industry (American Forest and Paper Association)
Just reading these facts can be pretty daunting. If you want to reduce your paper waste, get in touch with us today. We can offer electronic document management to completely replace the need for paper filing.
Document Management Can Save the World
2010 is the International Year of Biodiversity, and we can’t afford to
keep abusing the earth’s natural resources – can electronic document
management save planet earth
James Lovelock, the author of Revenge of Gaia, has already voiced his
opinion on the state of the Mother Earth. Lovelock writes that it is
too late to restore the planet back to its original condition, and
the damage is irreversible. But that doesn’t mean we can’t initiate
damage control. While others come up with drastic solutions such as
nuclear fission energy to put a rest to fossil fuel consumption, we
can all do our little bit to ensure we aren’t making things worse. If
you can save paper, do it.
Document management isn’t a caveman activity anymore. We have
technology at the tips of our fingers. Use it. If you want to save
paper to help inject a little life back into the planet’s
biodiversity levels, choose electronic document management.

Document Management - Extra Space
Saying goodbye to filing cabinets means more space, but if your company is not
imminently expanding to cope with new business, you’ve probably been left with an
awful lot of space to play with…
If that empty space where your big grey filing cabinet used to live has left room for a
new desk, then great! But what if you don’t need a new desk? You’re 18 months away
from employing another member of staff, but with 6 filing cabinets down, you now
have added office space. So what do you do with all that surplus room?
Firstly, you’ll need to have a quick vacuum (no-one likes a dirty carpet!), and then
you should sit down with all staff members and put some creative ideas together:
· Do you need a rest area? If you don’t have a staff room, a rest area provides
a safe space for lunchtimes and coffee breaks. If you have enough room to do
so, a closed off area with sofas can offer workers a comfortable place to relax
and unwind.
· Do you need refreshments? Sometimes it’s nice to know that a snack
machine or a drinks machine is close by.
· Do you need entertainment? Creative agencies and advertising companies
are notorious for embracing play during work hours. Get those creative juices
flowing with a widescreen television or the latest games console.
Document Management - Wave Goodbye to the Filing Cabinet
With everything going electronic, the world has gone eco-crazy, and modern
document management means that we no longer have to waste forests of paper, but
what about the filing cabinets we’ve left behind?
So we’re saving the planet with our intelligent advancements in document
management. That’s great. But are we forgetting something? Now that it’s all done
online, we no longer have to use metres and metres of paper every day in order to
record key information. Online document management is environmentally friendly.
But what about the dormant grey giants that remain in our offices? Surely, it’s not
time to part with our loyal grey friends just yet? Here are some creative ways to re-use
cabinets:
· Children’s activity cabinet – if you or anyone else in the office has children,
you can reuse cabinets as a storage unit for paints, colouring books, homework
books and other learning tools. You can decorate the cabinet’s exterior with
magnetic letters, photos and pictures.
· Stationary cupboard – if your office does not have a store room, a recycled
cabinet can be a really good place to store spare stationary.
· Storage for vinyl records – if you know any old school music lovers, a filing
cabinet really would make the perfect gift.
So don’t let those big old cabinets go to waste. Give them a new lease of life and
make the most out of them
